Facilities and Administration Officer

Job description

Main Purpose of the Job

Reporting to the Finance & Admin Manager the position is responsible for organizing and coordinating office operations and procedures in order to ensure Company effectiveness and efficiency

Key Accountabilities

  • Implements procedures and database storage for operational files
  • Supervises cleaners, drivers and switch Board operators to ensure effective service to all departments.

  • Maintains efficient working condition of all office equipment

  • Implements office procedures for handling of incoming and outgoing mail

  • Supervises contracts (e.g. cleaning & security services)

  • Monitors and liaises with insurance companies for insurance coverage of corporate property and staff vehicles

  • Ensures proper maintenance of company properties and properties of other entities entrusted to the company

  • Manages company fleet

  • Ensures periodic payments of all utilities by the Company

  • Designs and implements office procedures to track and manage utility costs of the company

Requirements

Qualifications and Experience

  • Degree in Business Administration or related field
  • Membership of a professional body will be an added advantage
  • Five (5) years’ work experience in Administration/facilities environment.
