Procurement and Administration Officer

Key Performance Areas

  • Sourcing: Procures quality products and services and advises user departments on specifications for equipment and services to be purchased, consulting with departments on specialist equipment and services
  • Negotiates prices, credit terms and discounts with suppliers and contractors to derive best value for money
  • Resolves queries and complaints from user departments and suppliers engaged through quotations
  • Maintains good relations with suppliers and contractors to minimize associated risks
  • Conducts asset verification and recommends disposal to Management, ensuring adherence to the Procurement Policy
  • Prepares tender documents with user departments and ensures that the tender process is adhered to in accordance with the Procurement Policy
  • Initiates insurance covers by updating the investment properties and operational assets register with acquisitions, disposals and insurable values from appointed valuing companies,
  • Facilitates insurance claims by filling forms, sourcing quotations and submits to the insurance company, liaising with the insurance company until final settlement is made
  • Checks utility bills for correctness, liaises with Finance for payment to avoid disconnection
  • Facilities management: Initiates license renewals, ensures timely vehicle maintenance and advises Management of the need for replacements based on the state of the vehicle (if outside the Procurement Policy)
  • Visual inspection of office building, reports to the Property Managers and ensures that maintenance is done, supervising outsourced vendors
  • Monitors and coordinates the repair and maintenance of office equipment/ furniture

Competencies Required

  • Strong administrating skills with the ability to deal with pressure situations, identify bottle necks and resolve these speedily and cost effectively
  • Strong teaming and collaboration attributes with a customer focused approach
  • Attention to detail with high accuracy and numerical skills
  • Communication skills - Be able to communicate clearly with staff and senior management.

Main Purpose of The Job

The successful candidate will provide procurement and administrative services to the Fund; i.e asset admin, insurance, general office admin, fleet management and accounts.

Minimum Qualification and Experience Requirements

  • Diploma in Accounting, AAT, or Equivalent.
  • Procurement Certificate Level 1
  • Driver’s License
  • 3 - 5 Years Post-Qualification Experience in office management, basic management of insurance policies, procurement and logistical office support
